Company Profile Content Checklist for Kenyan Businesses

Prepare a company profile that helps buyers evaluate your business, with a clear structure for services, capabilities, evidence and contact details.

A company profile should help a prospective buyer understand your business and decide whether to continue the conversation. It needs a clear description of the offer, relevant capabilities, credible evidence and a way to contact the right person. A long company history cannot substitute for those essentials.

Start by identifying the reader. A procurement team, potential partner and retail customer may need different information. You can share one core business story while choosing the details that support each use. This prevents a profile from becoming a general archive of everything the company has ever done.

Open with the work you do

Introduce the business in plain language. State the services or products, customers served and operating area accurately. Avoid broad claims such as being the leading provider unless there is a defensible basis for them. A precise description is more useful than an unsupported superlative.

Keep the introduction focused on the buyer’s problem. For example, a facilities supplier can explain what it supplies, how orders are coordinated and what information is needed for a quote. The reader should not have to reach page five to discover the basic offer.

Organise services into useful groups

Group related services and explain the outcome or application of each. Use consistent descriptions so readers can compare them. If some services require an assessment or separate quotation, state that clearly rather than implying that everything is included in a standard package.

Do not give every service equal space automatically. Allocate more room to the work most relevant to the profile’s audience. A short overview can point readers to fuller service pages when the details change frequently or would make the document unwieldy.

Show evidence you can verify

Use approved project examples, relevant qualifications, photographs of actual work and clearly attributed testimonials where permission exists. Explain your role in each project so readers do not confuse a contribution with responsibility for the whole assignment.

If the business is new, use a clear process description and honest capability information. Do not invent clients or results to fill a proof section. Staff experience can be discussed accurately, with the distinction between individual experience and the company’s own completed work kept clear.

Include operational information selectively

Buyers may need locations, contact channels, service coverage, delivery arrangements and relevant business documentation. Include what supports the intended use, and keep sensitive documents separate when they are better shared during a qualified enquiry.

Assign an owner to facts that change: team names, addresses, certifications and contact numbers. Record the version date internally so staff know which PDF is current. A polished profile becomes a liability if it circulates with obsolete information.

Prepare the content before layout

Collect approved copy, original logo files, photographs and project captions in one organised folder. Give each image a clear purpose. Low-quality screenshots and unlabeled photographs slow down the layout stage because the designer must guess what belongs where.

Agree whether writing, editing, image sourcing and photography are included in the assignment. Onek Designs’ brochure service can be scoped around a company profile, but page count and content responsibilities should be confirmed before design starts.

Design the document for its actual use

A profile sent through WhatsApp needs manageable file size and readable text on a phone. A printed profile needs appropriate production preparation. A document used during meetings may benefit from clear section breaks and easy navigation between services.

Request separate screen and print exports where needed. Check links in the digital version and review printed pages at actual size. Do a final factual proof after layout because text can be moved, shortened or accidentally duplicated while pages are assembled.

Common company profile questions

How many pages should a company profile have?

Enough to answer the reader’s main questions without repetition. The scope of the business and quality of available evidence should guide length. Do not add pages simply to make the company appear larger.

Should I include a mission and vision?

Include them if they help explain decisions or the business direction. Keep them concise and avoid allowing abstract statements to crowd out services, evidence and practical buying information.

Can one profile serve every audience?

A core version can work well, but different tenders, partners or sectors may require a tailored selection of information. Keep the master content controlled so tailored versions remain accurate.
